Charter Dispatch Coordinator

As a Dispatch Coordinator, you will be responsible for the daily operations of the dispatch department. The successful candidate monitors and coordinates bus schedules, driver personnel, and equipment assignment and ensures all needs of customers are met. The Dispatch Coordinator is a team player with strong leadership skills and can work in a fast-paced environment.

Operations Manager Essential Duties and Responsibilities

  • Accurately utilizes drivers and equipment to ensure travelers’ preferences are satisfied
  • Ensure quality of service, driver, and vehicle availability
  • Monitor drivers to ensure preparedness (uniforms, keys, maps, itineraries, rest, wellness, etc.)
  • Review charter details for accuracy
  • Respond to phone calls and emails promptly
  • Monitor and organize time off schedules for drivers
  • Promote driver safety and safe workplace performance
  • Ensure compliance with regulatory policies for bus operators
  • Evaluate driver performance
  • Provide reporting and analysis for accurate charter planning
  • Report accidents immediately to the Safety Manager.
  • Report motorcoach issues as soon as possible to the Maintenance Supervisor.
  • Keep correct records, monitor driver hours of service and equipment availability.
  • Assist the safety department with FMCSA requirements and Hours of Service (HOS) regulations.
  • Issue regular reports at intervals determined by management.
  • Evaluate the effectiveness of current operations to ensure cost management and efficiency. 
  • Account for all supplies issued to Bus Operators

Qualifications

  • High school diploma or equivalent required, bachelor’s degree preferred
  • Proficient in Microsoft Word, Excel, and Outlook; knowledgeable in dispatching and logistics software
  • Fluently read and write English
  • Excellent verbal & written communication skills
  • 1-3 years of experience in dispatch operations, preferably in the transportation industry
  • Strong leadership and management skills
  • Strong aptitude to work cross-departmentally to ensure all aspects of service are accurate, safe, and well-executed
  • Ability to work in a fast-paced and, at times, high-pressure environment
  • Strong problem-solving and analytical skills
  • Knowledge of area venues: airports, hotels, restaurants, and attractions a plus
  • Must have the ability to work flexible schedules, holidays, and irregular work schedules
  • An ideal candidate will thrive on multitasking and proactively anticipating, addressing, and resolving driver/customer needs.
  • Communicates and maintains a positive, productive attitude instilling confidence
  • Possess a Commercial Drivers License with “P” endorsement at the time of employment or must be willing to obtain CDL with “P” endorsement within 90 days of work.
